Creating a signature in Microsoft Outlook

  1. On the Tools menu, click Options..., and then click the Mail Format tab.
  2. Under the Signatures section, click the Signatures... button for a listing of all available signatures.
  3. Click the New... button to create a new personalized signature.
  4. Under Section 1, enter a name for your personalized signature.
  5. Under Section 2:
    1. If you are creating a new signature from scratch, click Next > to continue, or:
    2. If you are creating a new signature based on an existing signature (such as a template), choose Use this existing signature as a template:, and select the signature from the drop-down menu of existing signatures. Click Next > to continue.
    Note: Be careful when dealing with signature templates. If you edit it instead of creating a new signature based on it, you will be overwriting that template. If templates are automatically updated from a network resource or by other change management systems, your signature will be overwritten. So, be sure that you create a new signature using the original as a template!
  6. When finished making your customizations, click OK to save or Cancel to abort any changes.
  7. Under the Signature section, click the Signature for new messages drop-down menu, and then select the signature you want to use. You can also click the Signature for replies and forwards drop-down menu, and then the same or choose an alternate signature you want to use specifically for replies and forwards.
  8. Click OK.
